First up, apologies to you Mac users, this is a Windows product but I’m sure there’s something similar.
A good friend of mine introduced me to SimplyFile when we were both implementing David Allen’s GTD.
The basic premise is Do It Now (<2 minutes), schedule it or delegate it and SimplyFile does that and more.
Every time I send an email, SimplyFile asks where I’d like it, and the original email, filed.
So when I do get to me emails, I follow Mr Allen’s rules:
Anything I can action in 2 minutes or less gets done immediately and filed or deleted.
Anything that has a fixed date associated with it gets scheduled (“Schedule It” button)
Anything that needs to be done by me gets added to my task list (“Task It” button)
Any email subscriptions that I do receive in my Inbox get filed for later reading. (“File In” button)
This custom ribbon gets installed into your Outlook program to allow for quick and easy filing of your emails.
You can configure the buttons to add extra functionality but I’ve never found the need.
And SimplyFile learns from your emails.
It knows which senders and recipients get filed in what folder so you usually only have to click one button to file your emails.
